Schengen Visa - A Guide For International Students

What is a Schengen Visa?

Whilst studying in the UK you may wish to travel to Europe for a holiday or to attend a conference. If you do plan to travel to Europe you may need to apply for a visa.
Some nationals of non-European Economic Area (EEA) countries may have to obtain a visa known as a ‘Schengen Visa’ to travel to and within certain EEA Countries. 25countries have signed the Schengen Visa Scheme.
The 25 countries listed below make up the ‘Schengen Space’:
Austria, Belgium, Czech Republic, Denmark, Estonia, Finland, France, Germany, Greece, Hungary, Iceland, Italy, Latvia, Lithuania, Luxembourg, Malta, The Netherlands, Norway, Poland, Portugal, Slovakia, Slovenia, Spain, Sweden and Switzerland. 
The Schengen Visa Scheme allows those wishing to visit countries within the Schengen Space to travel using only one visa. Countries within the Schengen Space share a central immigration database, and common visa processing and issuing procedures.
You will still be subject to immigration control at each port of entry but having a valid visa for one of the countries usually enables you to travel freely within the Schengen Space for up to three months.  

Who Needs a Schengen Visa?

Not all non-EEA nationals require a Schengen Visa so you will need to check with the Embassy or Consulate of the country that you wish to visit.

What type of Schengen Visa do I need?

There are 4 types of Schengen Visa

  • Short Stay Visa:  This is the most common type of Schengen Visa for students. It is sometimes referred to as the Travel Visa or a Single Trip Visa. If you are travelling as a tourist or conference delegate and wish to travel for up to 90 days in any 6 month period, you will need this type of visa.
  • Airport Transit Visa:  This type of Schengen Visa allows you to transit through the international transit zone of an airport of a Schengen member state, but you must not exit this zone before you fly on to your next destination.
  • Transit Visa:  This type of Schengen Visa allows you to pass through the territory of one or more Schengen member states on your way to another country outside of the Schengen Space.
  • Multiple Entry Visa: This type of Schengen Visa is needed if you intend to travel to the Schengen Space more than once during a 90 day period. 
    N.B. This kind of visa will only be issued if sufficient evidence of travel is provided.

Which Embassy do I apply to?

If you are visiting a number of countries within the Schengen Space you will need to apply at the Embassy of the country that you will be spending the most time in.
If you are spending an equal amount of time in each of the countries within the Schengen Space you will need to apply at the Embassy of the country that you will enter first.
Applications have been refused if the correct procedure is not followed so it is very important that you follow these rules.

How do I apply for a Schengen visa?

Application processes vary depending on which country you intend to visit so you will need to check this with the Embassy of the country that you wish to visit. Details of the application process can be found on the relevant Embassy’s website.
Generally you will need to make your application in person at the Embassy of thecountry that you wish to visit. Most Embassies require that you book an appointment before you go to the Embassy.  You should be able to make an appointment by either calling a telephone number or by making a booking online.

What documents will I need?

Again this varies between countries but generally you will require the following:
  • Completed application form, signed by the applicant
  • Recent passport photograph(s)
  • Original passport or official travel document of each traveller
  • Proof of purpose of the visit
    This can be an invitation letter from friends/family or conference organisers (thisletter may have to be verified by the local town hall/city hall)
    or
    Proof of accommodation/tour booking.
  • Evidence of sufficient funds to complete your trip 
    e.g. recent bank statements or travellers cheques
    N.B.  Cash and credit card statements are not acceptable.
  • Evidence of student status
    You will need a recent letter from the University confirming that you are a
    full-time student.  You can request this from the Fielding Johnson Building but please remember to allow 3 days for processing.
  • Travel insurance for the entire trip
    This must include medical expenses. Your EC11 health card (if you have one) is NOT sufficient. You will need to buy additional travel insurance.
  • Check that your current student visa will allow you to return to the UK
    Most member states request that you have a minimum length of leave remaining on your student visa after you return to the UK but this varies between countries so you will need to check the requirements on the relevant website.
  • The Schengen Visa fee
    This varies depending on which of the Schengen countries is issuing the visa. Some Embassies accept cash payment but most do not. You will need to check with the relevant Embassy for accepted payment methods.
All of the documents that you provide must be originals; photocopies will not beaccepted.
We advise you to make copies of your passport and all the documents that you submit to the Embassy and ensure that you carry photocopies of all the documents that you submitted in support of your application.

How long will my application take?

The length of processing time can vary so you will need to check with the relevant Embassy for the most up-to-date information.

Sending and receiving documents from the Embassy

If you are required to send documents to the Embassy you will need to send them by Special Delivery. This is the safest and quickest way.
Some embassies ask you to also send a self-addressed Special Delivery envelope in with your application which they will use to return your documents to you.
If you are unsure how to use the Special Delivery service you can ask at a local Post Office. They will be able to explain how to use the envelope and the service.

What about countries outside of the Schengen Space?

If you wish to visit a country that is outside of the Schengen Space you will need to check the visa requirements for that country. Eaccountry has their own visa requirements and these requirements can change so it is important that you check the relevant country’s Embassy in the UK website for up-to-date information.

Austria

Application Process: Applications must be made in person at the Embassy. You will need to book an appointment prior to your visit at the Embassy. 

Belgium

Application Process: Visa applications can now be submitted in person without a prior appointment. Applications may also be sent by post for those residing outside of the M25. Applications can be done by post or in person at the Visa Application Centre. 

Czech Republic

Application Process: Applications must be made in person at the Embassy. You will need to book an appointment prior to your visit at the Embassy.

Denmark and Iceland

Application Process: Applications must be made in person at the Denmark Visa Application Centre. You will need to book an appointment prior to your visit at the Application Centre.

Estonia

Application Process: Applications can be submitted online but you must also present a signed copy at the Embassy. You must make an appointment either by telephone or via the website.

France (Consulate General in London)

Application Process: Applications must be made in person at the Embassy. You will need to book an appointment prior to your visit at the Embassy.

Finland

Application Process: Applications must be made in person at the Embassy. You will need to book an appointment prior to your visit at the Embassy.

Germany

Application Process: Applications must be made in person at the Embassy. You will need to book an appointment prior to your visit at the Embassy.

Greece

Application Process: Applications must be made in person at the Embassy. You will need to book an appointment prior to your visit at the Embassy. Please try to apply as early as possible, especially during the summer months and before public holidays.

Hungary

Latvia

Application Process: Applications must be made in person at the Embassy. You will need to book an appointment prior to your visit at the Embassy.

Lithuania

Application Process: Applications must be made in person at the Embassy. You will need to book an appointment prior to your visit at the Embassy

Luxembourg

Malta

Application Process: Applications must be made in person at the Embassy. You will need to book an appointment prior to your visit at the Embassy.

  • The Netherlands Visa Application Centre
    N.B. You do not need to book an appointment to visit the application centre, they run a ‘first come first served’ basis. This is only available to people living in the Greater London area. 

Norway

Application Process: There is a two part process to the process of applying for a Schengen Visa to visit Norway.
1.)  You must complete the application form and pay the fee online using the Visa Portal.
2.)  You then must present your supporting documents at the Embassy in person. To do this you must make an appointment online when you submit your application fee and pay your fee.

Poland

Application Process: Applications must be made in person at the Embassy. You do not need to book an appointment at the Embassy but they do offer a ‘first come first served’ service. You can submit your application during the following hours:
Monday - Wednesday 09.00 – 14.00
Thursday 13.00 – 18.00
Friday 09.00 – 14.00

Portugal
